Use the project workspace

Keep delivery context, progress, related records, notes, activity, and tasks together.

The project workspace is the operational home for one engagement. It combines the information needed to understand the project with direct access to its work, financial context, notes, and activity.

Read the project at a glance

The top of the workspace answers three different questions:

  • Project details: Who is the client, what kind of project is this, when does it run, who owns it, and what can the client see?

  • Additional details: How is the work priced, and what information is stored in project custom fields?

  • Task progress: How many tasks are complete, how is work distributed across statuses, and what is due next?

Develop the project brief in place

Project description is a full-width working surface for goals, creative direction, design ideas, links, decisions, and other context that deserves more room than a form field. Select its pencil icon to open the rich-text editor directly in the workspace, then save without leaving the project.

Open related business records

Related items summarize invoices, tracked time, expenses, opportunities, the source proposal, and files. Select an available item to open a project-filtered view without losing the project as your navigation context.

Check operational progress

For full users, Operational snapshot compares project fees with the amount invoiced and the project amount on fully paid invoices. For hourly work with an estimate, estimated fees are the hourly rate multiplied by the upper estimate. The snapshot also compares tracked time with the project's hour estimate and shows the hours remaining or over the estimate.

Paid reflects project line items on invoices that are fully paid. A partial payment cannot be assigned precisely to one project when an invoice contains work from multiple projects, so it is not counted as paid here until the invoice is complete.

The snapshot puts financial progress and delivery effort beside the related records that support them.

Preserve project knowledge

  • Notes are private workspace notes for context, decisions, and reminders.

  • Recent activity records meaningful project events and links back to their source records.

  • Tasks provides the full task workspace inside the project, already scoped to this engagement.

Manage access or reorganize the project

Use Manage access in Project details to invite a project collaborator, grant an existing collaborator access, remove project access, or revoke a pending invitation. Workspace members inherit access through their role and are managed from Team settings.

The project action menu also includes two guided administrative tools:

  • Change project type asks you to map every current task status to the appropriate status in the new project type before anything changes.

  • Transfer to another client moves the project and its working context. Previously issued invoices and expenses keep their original client association.

Collaborate from task Activity

Open a task and select Activity to work with the team's comments. Moxie takes you to the newest comment and keeps the reply box visible while the conversation scrolls above it. Task history stays in a compact, collapsed summary so it does not push the conversation down; expand it whenever you need the audit trail. You can keep a comment private to your team or make it visible to the client, mention a workspace member with @, and edit or delete comments you wrote.

Per-item billing remains attached to the task that produces the billable work. Choose a product or service, quantity, and task-specific rate to see its total. For an hourly product, Moxie calculates quantity from the uninvoiced time tracked on the task.

Finish or resume a project

Select Mark complete when the engagement is finished. Completed projects remain available from the Projects page and can be reactivated later; completion does not erase the project or its history.
