Moxie’s Trash can gives your workspace a safe place to recover deleted business records. Use it to find a deleted item, understand what was removed with it, and restore one or several records without rebuilding the work by hand.
Before you begin
Workspace Owners and Full Users can open the Trash can and restore records.
Only the Workspace Owner can permanently delete an item or empty the Trash can.
Restricted Users and Project Collaborators cannot open the workspace Trash can.
Items remain in Trash until someone restores or permanently deletes them. Moxie does not automatically empty Trash on a timer.
Understand what happens when you delete something
For supported business records, Delete moves the record to Trash instead of immediately removing it forever. Moxie shows a confirmation before the deletion and confirms when the item has been moved to the Trash can.
A single row can represent more than one underlying record. For example, deleting a client can include the client’s related contacts, projects, tasks, invoices, agreements, tickets, time entries, files, and other linked records. Moxie keeps those related records together as one deletion operation so they can be restored together.
The affected-record count helps you recognize a larger deletion before you restore or permanently remove it.
Find a deleted item
Open Settings.
Under Workspace, select Trash can.
Search by the deleted item’s name, or choose a date range such as Today, Last 7 days, Last 30 days, or a custom range.
Select Filter to narrow the list by Item type or Deleted by.
Trash is sorted with the newest deletions first. The item type, deletion time, person who deleted it, affected-record count, and current status appear in the list.
Use Item type when a workspace contains many deleted records, then combine it with search, date, or Deleted by.
Review everything included in a deletion
Select the deleted item or the arrow at the end of its row to expand the details. Moxie shows:
the record’s original ID;
why the deletion occurred;
who deleted it; and
the records and linked data that will return with the item.
Some linked records are restored rather than recreated. This allows Moxie to reconnect references without overwriting unrelated changes made elsewhere after the deletion.
Expand a row before restoring a large client, project, task, invoice, or other record with related data.
Restore one item
Find the item you want to recover.
Review its affected-record count and expand the details when needed.
Select Restore.
Confirm the restoration.
Moxie restores the complete deletion operation and removes it from Trash. A task and its deleted subtasks or dependencies, for example, return together rather than as separate partial restores.
Restore several items together
Select the checkbox beside each item you want to recover.
Review the selection count above the list.
Select Restore selected.
Confirm the restoration.
Bulk restore returns each selected deletion operation, including the related records grouped with it.
Permanently delete an item
Workspace Owners can select the red trash icon on a row to remove that deletion operation forever. Moxie shows the item name and affected-record count before continuing.
Permanent deletion cannot be undone. It removes the saved recovery data and associated stored files. Use it only after confirming that the record will never need to be restored.
The permanent-delete confirmation is intentionally stronger because this action bypasses recovery.
Empty the entire Trash can
The Workspace Owner can select Empty trash to permanently remove every available deletion operation. Moxie requires the phrase EMPTY TRASH before the action can run.
Each item is processed independently. If Moxie cannot remove an item or its stored files, that item remains in Trash so the owner can review the error and retry it. Items that were successfully removed are already gone.
What appears in Trash
Trash covers core Moxie business records, including clients, contacts, projects, tasks, invoices, agreements, forms and submissions, opportunities, tickets, time entries, expenses, income, vendors, payment plans, products, meeting schedulers, recurring schedules, notes, goals, workflows, files, email lists, and reusable templates.
Some operational actions cannot be safely reconstructed from saved Moxie data and therefore do not appear in Trash. Examples include disconnecting an external integration, cancelling a scheduled booking and its conferencing resources, deleting an individual attachment, clearing an active timer, removing a notification, or deleting an entire workspace.
Troubleshooting
I cannot see the Trash can in Settings
Your workspace role does not include Trash access. Ask a Workspace Owner or Full User to review or restore the deleted item.
An item cannot be restored
Moxie will not overwrite a newer record that already uses the deleted item’s original ID. The deleted item stays in Trash. Review the current workspace record before deciding which version to keep.
A permanent deletion failed
If associated file cleanup fails, the item remains in Trash with a failed status. Refresh the list and retry the permanent deletion later. Restoring the item may still be available depending on its status.
I deleted something, but it is not in Trash
The action may be an operational change that Moxie cannot safely restore, or the record may not yet be supported by the universal Trash system. Review the confirmation shown when you delete: supported records say they were moved to the Trash can.
