Integrate Moxie with FreeAgent

Connect FreeAgent, map sales, processing fees, and payment accounts, and manage synchronized invoices, refunds, and balance adjustments.

Connect Moxie to FreeAgent so clients, invoices, payments, processing fees, and accounting tax rates stay aligned without entering the same information twice.

Before you begin

  • FreeAgent is available on Pro and Teams plans.

  • You need permission to manage workspace integrations in Moxie and authorize the intended business in FreeAgent.

  • Confirm your categories, payment account, and tax mappings with the person responsible for your books. The examples below explain the settings, not accounting advice.

Prepare your categories and payment account

In FreeAgent, identify the categories and account Moxie should use:

  • Sales category: an income category for Moxie invoice lines.

  • Processing-fee category: an expense category for payment-processing fees, such as your business's bank or finance charges category.

  • Payment bank account: the active business bank account where Moxie should record payments and refunds. Personal and inactive accounts are not offered.

All three mappings are required before Moxie can synchronize invoices, payments, and processing fees. Agree on how these entries will be reconciled with imported bank activity so the same receipt is not recorded twice.

Connect and map FreeAgent

  1. In Moxie, go to Settings → Apps & integrations and select Accounting.

  2. On the FreeAgent card, select Connect, then Connect FreeAgent to start authorization.

  3. Sign in to FreeAgent and authorize the business you want this Moxie workspace to use.

  4. After returning to Moxie, check the connected business name. Select Manage on the card whenever you need to reopen these settings.

  5. Choose the Sales category, Processing-fee category, and Payment bank account you prepared.

  6. Review the optional Default sales tax and Exempt sales tax mappings.

  7. Select Save FreeAgent settings.

Save all three required account mappings before relying on invoice and payment synchronization.

What happens next

  • Moxie synchronizes eligible clients, invoices, payments, refunds, and processing fees with FreeAgent.

  • A small FreeAgent mark on a linked client, invoice, or payment identifies its accounting connection.

  • To use FreeAgent tax rules, open Settings → Preferences → Invoices, choose Integrated — accounting provider tax rules, and select FreeAgent and the appropriate default rule.

Manage your business's tax settings in FreeAgent, then reopen invoice preferences to refresh the available rules. Existing documents retain their saved tax selections rather than changing when you edit a default.

Record payments and refunds in Moxie first

Record payments in Moxie before reconciling the corresponding bank activity in FreeAgent, including payments received outside Moxie. Avoid adding a second payment directly to the FreeAgent invoice. Changes made in FreeAgent should not be assumed to update Moxie.

A refund reduces the amount paid against the invoice and reopens the corresponding balance. For example, a 5,000 invoice with 5,000 paid and a 3,000 refund has 3,000 outstanding. Refunding a payment does not, by itself, forgive the amount the client owes.

Close a partially paid invoice without collecting the remainder

For a FreeAgent-linked invoice with partial payments and an outstanding balance, Moxie offers Adjust balance & close. Moxie adds a negative balance-adjustment line to offset the remaining balance and synchronizes the adjustment with FreeAgent. You do not need to enter the discount yourself.

The invoice then shows as paid in full with no balance due, while the actual payment and refund history remains intact. This is a balance adjustment, not an additional customer payment. Review its bookkeeping treatment with your accountant before using it.

Reconnect, reset, or disconnect

  • Reconnect renews authorization. Confirm that you authorize the intended business.

  • Reset clears FreeAgent record links without ending authorization. Use it only after changing the connected business, as the confirmation explains—not as a routine retry.

  • Disconnect removes the FreeAgent connection from Moxie. You can also remove Moxie's authorization in FreeAgent if you no longer want it authorized there.

For a single incorrectly linked client or invoice, use its action menu and choose Unlink accounting record. This does not delete the record in FreeAgent; check the existing record before synchronizing again to avoid duplicates.

Troubleshooting

  • Save is unavailable: select the sales category, processing-fee category, and payment bank account.

  • A payment account is missing: confirm it is active and is not a personal account in FreeAgent, then reopen the integration settings.

  • Tax rules are missing: review the business's FreeAgent tax settings and select FreeAgent in Moxie's Integrated tax mode.

  • An invoice cannot be edited or reconciled automatically: payments, credits, or bank-matched entries managed outside Moxie may prevent the edit. Review the reported conflict in FreeAgent rather than deleting or duplicating payments.

  • Payment restoration is incomplete: retry the failed invoice action after resolving the reported issue. Keep the same payment bank account selected and do not manually add replacement payments while recovery is pending. Contact support if the retry still fails.
