Find and understand your invoices

Use invoice analytics, date ranges, search, filters, grouping, and sorting to understand billing health.

Use the Invoices page to understand how consistently payments are coming in, what remains unpaid, and which balances need attention.

Choose the reporting period

The default view covers invoice activity during the past 12 months. Activity includes invoices sent, paid or refunded, or due during the period, plus drafts created during the period. This means a payment against an older invoice appears when that payment was recorded.

Use the date selector to choose another period or a custom range. For a custom range, enter both dates and select Apply. Use Activity date beside it when you need a narrower date meaning:

  • Issued date includes invoices sent during the period.

  • Payment date includes invoices with a qualifying payment or refund during the period.

  • Due date includes finalized invoices due during the period.

  • Created date includes invoices first created during the period.

Invoice-page KPIs and converted row totals use the workspace currency, even when the list contains invoices issued in other currencies. The invoice's original amount remains visible alongside its converted workspace value.

Read Cash collected & awaiting payment

  • Invoice payments collected shows payments recorded during the selected period on invoices matching the current filters, net of refunds. Pending payments count; failed payments are rolled back.

  • Still unpaid shows the balance still unpaid today on invoices matching the current filters, including the amount overdue.

  • Typical time to pay shows the median days from sending to full payment for invoices paid in the selected period.

  • Paid on time shows the percentage of those invoices paid by their due date. Invoices without a due date do not enter this percentage.

The monthly chart compares invoices issued with payments received. The current month shows collections to date. Collection speed and on-time payment compare with the preceding period, with the comparison dates shown below the chart.

The aging breakdown separates balances that are not due from balances 1–30, 31–60, or more than 60 days overdue. It shows the remaining balance today for matching invoices, aged from their due dates. The selected date basis plus client, status, type, and search filters apply to the entire view.

Find the right invoices

Invoices open newest-first by Created, so recent drafts and newly issued invoices stay together even when invoice-number formats differ. The Created, Sent, Date Paid, and Due columns let you distinguish when the record was made from when it entered the collection workflow. Draft rows leave Sent and Due blank until the invoice is finalized.

Date Paid shows the final payment date for fully paid invoices. Partially paid invoices and settlements without a recorded payment date show a dash.

Compact dates omit the year when they fall in the current year. Historical and future-year dates include the year, so older invoices remain unambiguous without adding repetition to current work.

  • Search by invoice number, client, or description.

  • Open Filter to narrow by relevant invoice attributes and status.

  • Use Group by to organize invoices by client, status, or due date.

  • Use Fields to show or hide status, client, description, amount, and lifecycle-date columns. Invoice number stays visible so every row remains identifiable.

  • Select a column heading to sort. When a table is grouped, sorting happens within each group unless you sort by the grouping field, in which case the groups themselves are ordered.

Open the saved-view selector at the beginning of the toolbar to save the current date range, date basis, filters, grouping, sorting, collapsed groups, and visible fields for reuse. Saved views are personal to you; search text stays temporary. In client and project related invoice lists, field choices are remembered automatically in this browser. If you select Hide on the Cash collected & awaiting payment section, Moxie remembers that choice in this browser when you return to Invoices.

Open the record without losing context

Select an invoice row to open its detail or draft editor. Moxie carries the list as the return destination, so the invoice back button returns to the same module context.

Review a client's deposit activity

Open Invoices from a client's Related records area. When the client has money available in their deposit account, the Deposit available card appears above the invoice list. Select it to review:

  • The amount collected, used, and currently available. Used includes deposits applied to invoices and refunded deposit payments.

  • Each deposit collection, application, and refund in newest-first order.

  • The invoice associated with every transaction.

  • For applied deposits, the source deposit invoice and whether it was client-wide or project-specific. Reconstructed history and older balances without a verified source are identified clearly.

Deposit money is collected through Deposit products or line items on a standard invoice. Moxie does not require a separate deposit-invoice workflow.

The card shows the client's total remaining deposit balance. The amount eligible for a particular invoice can be lower: a project-assigned deposit can fund only invoices billing that project, while a deposit without a project assignment can be used across the client's invoices and projects.

Share a client's complete account history

Open the client workspace and use its Account statement shortcut when you need more than the invoice list. Choose a standard or custom period to download an Excel statement with invoices, payments and credits, running and open balances, deposit balance, and online invoice links.
