Send, share, and manage an invoice

Deliver an invoice now or later and manage its status, online link, payments, and activity.

Written by Geoff Mina

Send a polished invoice by email, schedule it for later, or mark it as sent when delivery happens outside Moxie. After an invoice leaves draft, its detail page becomes the source of truth for status, payments, sharing, and activity.

Send from Moxie

  1. Open a draft invoice and select Send. Moxie saves your latest changes and opens the client-facing preview with the send dialog. To review the invoice without starting delivery, select Preview instead, then Send invoice from the preview when you're ready.

  2. Confirm the client-facing invoice preview behind the dialog.

  3. Add recipients, review the subject and message, and choose an email template when needed.

  4. Use Send for immediate delivery or the adjacent send-later control to schedule delivery.

The invoice PDF is attached automatically. Closing the send dialog without sending keeps the draft unchanged. After a successful send, Moxie opens the invoice detail page; selecting Back once returns you to the page where you started the invoice workflow.

The share experience combines recipients, a professional message, the invoice attachment, and immediate or scheduled delivery.

Mark an invoice as sent without emailing it

For a draft delivered outside Moxie, open Invoice actions and choose Mark as sent. This finalizes the invoice number and dates and makes the invoice payable without sending an email.

Download a draft PDF

Choose Download PDF to keep the invoice in draft, or Download & mark as sent to finalize it for delivery outside Moxie. Moxie warns you before downloading a draft because its PDF does not include the Pay Now button.

Manage an invoice after sending

The invoice detail page shows its current status, amount due, key dates, and activity. Every payment and refund appears in the Payments & refunds panel, where each row's actions menu offers options such as Issue refund. The header actions let you, depending on the invoice state:

  • select Copy invoice link to copy the client's online invoice URL for use outside Moxie;

  • select View as client to see the invoice exactly as the client does;

  • download the PDF;

  • select Record payment for an offline payment;

  • apply available client deposit credit without returning the invoice to draft;

  • waive an accrued late fee, or apply a waived fee again, from the actions menu (see Set up late payment fees);

  • resend the invoice or return any non-draft invoice to draft, including when it is partially paid, late, or has refunds.

Returning an invoice to draft keeps its recorded payments and refunds. You can then update its line items and other invoice details before sending it again.

When the client has eligible deposit credit, open the invoice's … actions menu and select Apply deposit. You can do this from the invoice list or invoice detail. Enter an amount up to the smaller of the deposit eligible for this invoice and the invoice balance. Moxie updates the amount due while keeping the sent invoice's line items and terms locked. If deposit credit was already applied, use Manage deposit to adjust or remove it.

A client's remaining deposit balance and the amount eligible for one invoice can differ. A deposit assigned to a project can be used only on invoices billing that project. A deposit without a project assignment is available across that client's invoices and projects. Previously applied credit remains available only while managing the same invoice, and refunded deposit amounts are not available to apply again.

Delete draft invoices carefully

Delete is available for drafts from Invoice actions. Sent and paid invoices are financial history and use status-specific management options instead of the draft deletion flow.
