Connect and manage your inbox email

Prepare your CRM, connect an inbox account, and understand exactly which email Moxie synchronizes.

Written by Geoff Mina

Connect an inbox account to read and reply to client email inside Moxie while keeping unrelated personal or business mail out of the workspace.

Before you connect

Update your CRM first. Moxie only synchronizes email to or from people it recognizes through contacts or opportunities. The initial connection is when Moxie discovers available historical conversations for those known people.

If you add a person to Moxie after connecting your mailbox, their older conversations are not imported retroactively. New email can synchronize from that point forward, but the earlier thread remains outside Moxie. Retroactive import for newly added contacts is on the roadmap.

Automated-email senders and Inbox accounts do different jobs and are managed separately.

Understand the two connection types

  • Automated emails are messages Moxie sends for you, such as invoice reminders, portal access, form confirmations, and agreement requests.

  • Inbox accounts are real mailboxes used for two-way conversations in Inbox and for mailbox-based workflow email.

Connect an inbox account

  1. Under Inbox accounts, select Add email account or Connect an email account.

  2. Choose the provider that hosts the mailbox.

  3. Complete the provider authorization or enter the requested server details.

  4. Return to Email settings and confirm the mailbox appears under Inbox accounts.

  5. Open Inbox and allow the initial synchronization to complete.

Expand recognition with an approved domain

When an entire client organization uses a trusted domain, add it under Approved client domains. Email to or from that domain can synchronize even when every individual address is not yet stored as a contact.

Approve only domains that belong to a real client organization; do not approve broad public-email domains.

If a conversation is missing

  • Confirm the sender or recipient is attached to a Moxie contact or opportunity.

  • Confirm the mailbox involved in the conversation is connected as an Inbox account.

  • Confirm the message was sent after a newly added contact became known to Moxie.

  • For a client-wide domain, confirm the domain is listed under Approved client domains.
