Understand your client portal

Learn how workspace defaults, contact access, client features, and record visibility create a secure client experience.

Written by Geoff Mina

Your client portal gives each client a secure, branded place to find the work, documents, payments, and conversations you choose to share.

How the portal fits together

Think of the portal as three connected layers:

  • Workspace defaults control your branding, navigation, domain, and default feature set.

  • Client access determines which contacts can sign in and whether a client uses the workspace defaults or a custom feature set.

  • Record visibility controls which projects and other client-facing records actually appear.

What clients experience

Clients open your secure portal domain and sign in with their email address. The portal can offer a magic-link sign-in as well as password access, depending on the account and portal configuration.

A reliable setup order

  1. Customize the portal appearance and confirm the domain.

  2. Choose the workspace-wide features and navigation.

  3. Give the correct contacts portal access.

  4. Set project and record visibility deliberately.

  5. Preview the experience before sharing the portal link.

Important: Enabling a feature in navigation does not automatically expose every related record. Client access and record-level visibility still protect the underlying information.
