Give clients access to their portal

Choose which contacts can sign in and when a client should use customized portal features.

Written by Geoff Mina

Give specific client contacts permission to sign in, then decide whether that client should inherit your workspace defaults or receive a tailored portal experience.

Before you begin

  • Portal access belongs to a contact and depends on that contact having a valid email address.

  • A client can have several contacts, and access can be enabled independently for each one.

  • Feature access is configured for the client, so contacts for the same client share that client-level experience.

Give a contact access

  1. Go to Clients → Portal access.

  2. Find the client and select Manage access.

  3. Under People with access, enable the contacts who should be able to sign in.

  4. If the correct person is missing, select Add contact and create their contact record first.

  5. Select Save.

Customize one client's experience

Leave Customize for this client off to inherit the workspace defaults. Turn it on when this client needs a different set of portal sections. A client-specific override remains in place even when you later change the workspace defaults.

Remove access safely

Turn off portal access for the contact and save. This blocks that person from signing in without deleting their contact history or changing access for the client's other contacts.

Troubleshooting

  • If a contact cannot sign in, confirm their portal-access toggle and email address.

  • If a section is missing, check both the client's feature selection and the related record's visibility.

  • Use the Active, Archived, and All filters when the client does not appear in the initial list.
