Moving from Moxie V3 to Moxie V4?

Find familiar V3 features, learn the V4 organizing model, and get comfortable with the workflows that changed.

Moxie V4 keeps the client, project, financial, sales, and communication records you already know. What changed is how those records are organized and how quickly you can move between them. This guide is a map for experienced Moxie V3 users: it explains the new mental model, shows where familiar features moved, and introduces the workflows that are genuinely new.

The short version: your business data still belongs to the same business. V4 gives that data a calmer structure, puts daily priorities on Home, turns client and project pages into connected workspaces, and moves reusable configuration into one Settings home.

What changed—and what did not

Moxie V3 grew feature by feature. That made a great deal possible, but it also created long navigation lists and placed configuration beside day-to-day work. V4 separates those concerns:

  • Primary areas contain the records you work with every day.

  • Contextual navigation shows the relevant options inside the area you selected.

  • Settings contains reusable templates, defaults, integrations, access, and other configuration.

  • Focused workspaces keep related information together without adding another row of tabs.

Your clients, contacts, projects, tasks, invoices, payments, forms, agreements, opportunities, meetings, communications, and files remain recognizable. Some labels and routes changed, but V4 is not asking you to rebuild your business from scratch.

Learn the V4 organizing model

The primary rail answers a simple question: What kind of work am I doing?

  • Home — priorities, upcoming work, and business context.

  • Clients — clients, contacts, shared files, and portal access.

  • Work — projects, tasks, capacity, recurring tasks, and time.

  • Money — invoices, payment plans, recurring schedules, payments, expenses, vendors, reports, and product or service items.

  • Sales — pipeline opportunities, agreements, forms, and submissions.

  • Inbox — email, tickets, email activity, bulk email, calls, and text messages.

  • Calendar — the calendar, appointments, and scheduling links.

  • Settings — configuration and administration.

Where reusable setup moved

Email, agreement, project, and invoice templates are together under Settings → Templates. Project types and task statuses live under Project settings. Pipeline and ticket setup live in their matching Settings areas. Integrations and payment providers are managed from Apps & integrations.

Navigate without hunting through menus

V4 gives you several faster paths in addition to the navigation rail.

Use Universal Search

Select the search field in the top bar—or press Command-K on macOS or Control-K on Windows—to find records and feature destinations. You can also type / to discover commands.

Search is also feature navigation. Typing “invoice” can take you to invoices, invoice templates, preferences, or related settings.

Create without leaving your work

The purple + button in the top bar opens the global create menu. Client and project pages also offer contextual New actions that preserve the client or project you are working with.

Keep utility work close

The top bar keeps the timer, Communicator phone and messages, Help, and notifications available throughout the app. Record editors such as tasks and time entries open in a right-side panel when the work does not require a full page. Back buttons preserve where you came from on full-page records.

Open a primary link in another tab

Command-click on macOS or Control-click on Windows to open supported primary links in a new tab. This is useful when comparing related records or keeping a client workspace open while reviewing a project or invoice.

Use Home to decide what deserves attention

V3 Dashboard widgets have become a more intentional Home. The goal is not merely to report what exists—it is to reduce the mental effort required to choose the next action.

  • Respond surfaces communication and service work that needs a reply.

  • Deliver surfaces project and task commitments.

  • Grow surfaces sales opportunities and their next actions.

  • Needs attention highlights exceptions such as overdue or stalled work. It stays out of the way when there is nothing unhealthy to report.

Expand a category to see more without leaving Home. Your daily focus follows your role and access.

You can also enable a daily digest under Settings → My profile → Notifications. The email uses the same Respond, Deliver, and Grow model so the guidance in your inbox matches the guidance in Moxie.

Work from a complete client workspace

V3 used many client tabs to expose every connected module. V4 gives the client record a single workspace:

  • Client and billing details stay visible.

  • Contacts are actionable cards with their access and delivery settings.

  • Notes have a prominent, searchable home.

  • Recent activity links to the specific record behind an event.

  • Related records show counts, time, or value by module.

Select any related-record row to open a first-class, client-filtered list with familiar KPIs and table details. You stay inside the client context, and your main module filters are not disturbed.

The star beside a client name adds that client to the Clients secondary navigation for quick access. Call and message actions appear when the workspace has an active Communicator subscription.

Manage projects and tasks with more context

Projects now support both an operational list and a higher-level dashboard. Project cards summarize progress, open and overdue tasks, schedule, next due work, and financial context. Filters for client, owner, project type, lifecycle, and custom fields help narrow the portfolio.

Switch between Dashboard and List depending on whether you need the portfolio view or individual records.

Inside a project, description, activity, notes, files, financial context, tasks, and related records share one workspace. Task details use compact right-side editors so you can update overview, subtasks, time, comments, files, and billing without losing the project behind them. Capacity planning uses project estimates, dates, assignments, and individual availability to help you spot overcommitment.

Use consistent lists, filters, and saved views

Primary list pages now share a predictable pattern:

  • Search and date controls stay in the header.

  • High-frequency dimensions live in the Filter menu instead of becoming extra tabs.

  • Column headers sort records.

  • Grouping sorts records within each group; sorting the grouping field changes group order.

  • Folder-capable lists manage folders directly in the table.

  • The empty folder label is consistently No folder.

  • Tables scroll horizontally on smaller screens instead of compressing critical fields into unreadable columns.

Tasks, Pipeline, and Tickets also support personal saved views. A saved view can remember filters, grouping, layout, visible fields, and sorting, while one-off search text remains temporary.

Find templates and configuration in Settings

V3 often placed setup options beside the module that consumed them. In V4, Settings is a searchable directory organized around Work, Workspace, and Account. Recently viewed settings are stored locally in your browser for quick return visits.

Search Settings when you know the concept but not its location. Contextual settings icons on primary data pages also link directly to the matching configuration.

  • Work: templates, workflows, project settings, sales pipeline, and custom fields.

  • Workspace: communications, client portal, apps and integrations, business and team, and preferences.

  • Account: data import/export, your profile, billing and plan, and referrals.

Explore important new and improved capabilities

V4 is more than a navigation redesign. Depending on your plan, role, and workspace setup, you may also see:

  • Moxie Assistant for focused drafting, structured record creation, summaries, and business reports—with review before final action.

  • A complete calendar with month, two-week, week, and day views plus connected calendar events, Moxie work, and appointments.

  • Project dashboard and capacity planning for portfolio health, estimates, workload, and individual availability.

  • Stronger pipeline focus with opportunity ownership, expected close dates, and visible next to-do actions.

  • A ticket workspace that connects the conversation, submitted answers, project tasks, time worked, files, and AI summaries.

  • Payment plans and recurring schedules with pause controls, readable history, and forward-looking schedule context.

  • A unified communications experience for email, calls, text messages, tickets, email activity, bulk sends, and recipient lists.

  • A visual workflow builder with grid alignment, converging branches, connection management, consistent editors, and a front-end logic emulator.

  • File details and version management with preview, download, notes, version history, and restore.

  • Client portal improvements including appearance, domains, page folders, a visual custom-page builder, and signed-in client/contact tokens.

  • Modern bulk email with safeguards, attachments, scheduled sends, history, future-send cancellation, saved recipient lists, and pseudo-lists for all clients or contacts.

Understand access and plan differences

V4 adapts navigation and Home to what a person can actually use.

  • Owners can manage workspace-wide billing, access, and configuration.

  • Full users can work broadly but do not receive every owner-only administrative action.

  • Restricted users see the paid workspace features granted to them; unavailable areas are hidden rather than advertised.

  • Project collaborators receive a focused experience for assigned project work, their own time and capacity, calendar, bookings, and supported integrations.

Starter workspaces may see upgrade explanations on Pro capabilities. Restricted users and project collaborators do not see upgrade prompts for permissions they cannot change. If a screen or action described in this guide is missing, first consider the signed-in role, workspace permissions, plan, and whether the required integration is connected.

Complete your first V4 session

  1. Open Home and review Respond, Deliver, Grow, and Needs attention.

  2. Open Clients, choose an active client, and inspect Notes, Recent activity, and Related records.

  3. Star the clients you return to most often.

  4. Press Command-K or Control-K and search for a feature you previously found through a V3 menu.

  5. Open Settings home and confirm your business details, integrations, preferences, templates, and notification choices.

  6. Open a primary list you use every day, set its filters and sort order, and save the view when supported.

  7. Review Apps & integrations to confirm email and calendar connections.

Frequently asked questions

Did moving to V4 delete or recreate my records?

No. V4 is a new application experience over your Moxie business data. A record may appear in a different area or presentation, but the transition is not intended to create a second copy of your workspace.

Why do I see fewer client tabs?

The client workspace replaced the long tab row. Use Related records to open a rich, client-filtered list for a module. Notes and recent activity remain visible in the main client view.

Where did a module’s settings go?

Open Settings and search by concept. You can also use Universal Search or a contextual settings icon on the module’s primary page.

Why can another teammate see different navigation?

Navigation follows role, feature permissions, project access, subscription, and connected services. That prevents people from entering areas where every request would fail.

Can I still work in more than one browser tab?

Yes. Command-click or Control-click supported links. V4 also preserves return context on routed detail pages and opens many focused editors over the current page.

Is every V4 feature available on Starter?

No. Some collaboration, integration, automation, AI, phone, and advanced capabilities depend on plan or add-ons. V4 explains relevant upgrade paths while continuing to allow safe read or disconnect access where appropriate.
