Create work from an Inbox conversation

Turn an email, text conversation, or call into a linked project, task, ticket, or opportunity without copying context by hand.

Turn an email, text conversation, or call into actionable work without copying the conversation into another part of Moxie by hand.

Before you begin

  • The communication must be visible in Inbox → Messages.

  • You can create work from email threads, text conversations, and calls.

  • The menu shows only the record types your workspace role allows you to use. If an option is missing, ask a workspace administrator to review your access.

  • Moxie can preselect the client or contact when it recognizes the email address or phone number. You can review or choose that relationship before saving records that require it.

Create work from a conversation

  1. Open Inbox → Messages.

  2. Select an email, text conversation, or call.

  3. In the conversation header, select Create from this email, Create from this text conversation, or Create from this call. The button uses a document-and-plus icon.

  4. Choose Project, Task, Ticket, or Opportunity.

  5. Review the new record and complete any remaining details.

The action menu stays with the selected conversation and shows the destinations available to your role.

Choose the right record type

Project

Choose Project when the conversation represents a larger body of work that needs its own schedule, fee arrangement, owners, and tasks.

  1. Moxie opens the New project editor and fills in the project name, recognized client, and source communication.

  2. Review the description, choose a project type, and complete the schedule, team, fee, and client portal settings.

  3. Select Create project.

The source communication is added to the project description so the project begins with the original request and a route back to the Inbox thread.

Task

Choose Task when the request is a focused action item and does not need a complete project.

  • Moxie creates a standalone task immediately using the workspace's default project type and first task status.

  • The task opens in the details panel so you can change its name, project, status, assignees, dates, and other details.

  • The source communication and any included files are attached to the new task.

Important: Selecting Task creates the task before the details panel opens. If you opened it accidentally, delete the task from its details panel.

Ticket

Choose Ticket when the communication is a support request that should enter the ticket queue.

  1. Moxie opens the Create ticket panel with the subject and source communication filled in.

  2. Confirm the client, requester, and ticket type.

  3. Edit the initial message if needed.

  4. Enable Email the requester when this ticket is created only when you want ticket creation to send a new email. It is off by default for tickets created from an existing communication.

  5. Select Create ticket.

Review the recognized relationship and captured context before creating the ticket or notifying the requester.

Opportunity

Choose Opportunity when the conversation represents potential work that should be tracked in the sales pipeline.

  1. Moxie opens the New opportunity window with the conversation subject and recognized client filled in.

  2. Choose the stage and owner, then add the value, expected close date, frequency, and confidence when known.

  3. Select Create opportunity.

What Moxie carries into the new record

  • Email: the messages in the selected email thread.

  • Text: the current exchange around the selected or most recent message. A gap of more than one hour starts a separate exchange.

  • Call: the call direction, result, duration, and transcript when one is available.

  • Project, Task, and Ticket context: the conversation title, dated transcript, identified client or contact, and a link that opens the original communication.

  • Opportunity context: the conversation title and recognized client are used to start the opportunity, and the opportunity remains linked to the original conversation.

  • Files: attachments included in the captured context are copied to the created record. A call recording is included when one is available.

The copied context is a snapshot. Editing the original communication later does not rewrite the project, task, ticket, or opportunity.

Return to work created from the conversation

After a Project, Task, or Ticket is created, a linked-record icon appears in the conversation header. Select it to see the records created from that conversation and open one directly. A number on the icon shows when more than one record is linked.

Opportunities remain available from the opportunity link in the same header. You can create more than one type of work from the same conversation when the request needs both sales follow-up and delivery work.

Troubleshooting

An option is missing

The menu respects your workspace permissions. Ask a workspace administrator to confirm your access to Projects, Tasks, Tickets, or Pipeline.

The client or requester was not selected

Moxie could not match the communication's email address or phone number to an active contact. Choose the client or requester manually before saving. Add or correct the contact record when future conversations should match automatically.

The communication is long

Large email threads can take a moment to prepare because Moxie collects the messages and attachment information before opening the new record. Review the captured description and remove quoted history that is not useful.

The record was created but its link or files were not saved

The new record still exists. Open it from its normal Projects, Tasks, Tickets, or Pipeline list and add any missing files manually. The embedded source link remains available on Projects, Tasks, and Tickets; contact Moxie Support if the linked-record shortcut is missing.
