Deactivate and reactivate a workspace member

Temporarily block workspace access while preserving a teammate's profile, assignments, and access settings for later reactivation.

Deactivate a workspace member when they should temporarily lose access to your Moxie workspace but you still need their name, avatar, assignments, and access configuration to remain intact. You can reactivate them later without sending a new invitation or rebuilding their settings.

Deactivate workspace access

The person may return, or historical assignments must remain recognizable.

Access stops, but the membership, profile, role, restrictions, and existing assignments are preserved.

Remove permanently

The workspace membership should be deleted and you do not expect to restore it.

The membership is removed. Records remain, but the person's name or avatar may no longer resolve on historical assignments.

Revoke invitation

The person has not accepted their invitation.

The pending invitation is canceled. There is no active membership to deactivate.

What happens when you deactivate someone

  • They can no longer open or sign in to this workspace. Their Moxie account and access to any other workspaces are unchanged.

  • Full and restricted members stop using a team-member license.

  • Moxie removes them from normal choices for new task, ticket, project, opportunity, signer, recipient, scheduler, and similar assignments.

  • Moxie stops sending them notifications for this workspace.

  • Existing assignments continue to show their saved name and avatar so historical work remains understandable.

  • Their role, restricted feature and client access, collaborator project access, profile details, and other membership settings remain stored for reactivation.

Use the Status filter to switch between active, deactivated, and pending team records.

Before deactivating a member

  • Communicator phone line: Move the person's active line to another eligible member or disconnect it first. Moxie blocks deactivation while the line is still assigned.

  • Moxie Assistant: Review the Assistant column. Deactivation frees a team-member license when applicable, but Assistant access is a separate assignment. Remove it if another teammate needs that Assistant license.

  • Active responsibilities: Decide whether current task, project, ticket, opportunity, scheduler, or workflow responsibilities should be reassigned. Deactivation preserves existing assignments; it does not transfer ownership automatically.

Deactivate workspace access

  1. Go to Settings → Business & team → Team & access.

  2. Find the active member. Open the three-dot action menu on their row.

  3. Select Deactivate workspace access.

  4. Review the confirmation and select Deactivate.

The row changes to Deactivated, and the team-member capacity card updates when that role previously used a license. Only the workspace owner can deactivate a member. The workspace owner cannot deactivate their own owner membership.

Find and reactivate a member

  1. Open Team & access and set the status filter to Deactivated.

  2. Open the member's three-dot action menu and select Reactivate workspace access.

  3. Review the access that will return, then select Reactivate.

The member regains their previous role and access configuration immediately; they do not need to accept another invitation. Full and restricted members begin using a team-member license again. If every license is allocated, free a license or add capacity before reactivating them.

What is preserved

  • The member's name, email, profile image, and workspace membership.

  • Their previous access level and applicable feature, client, or project restrictions.

  • Existing ownership and assignments on tasks, tickets, projects, opportunities, time entries, and other workspace records.

  • Historical activity and records they created.

Reactivation restores access; it does not reverse responsibility changes you made while the member was away. If you reassigned work manually, decide whether to assign it back.

Troubleshooting

  • Deactivate is not available: Confirm that you are the workspace owner, the member is active, and the row is not a pending invitation.

  • Moxie will not deactivate the member: Move or disconnect their Communicator phone line first.

  • Reactivation says there is no team-member license: A full or restricted member needs available capacity. Deactivate another unused member or manage capacity in Billing & plan.

  • The member still appears on old work: This is expected. Deactivation deliberately preserves existing assignments and identity.

  • The person should never return: Use Remove permanently only after reviewing the warning about unresolved names and avatars on historical assignments.
