Connect Moxie to Xero so clients, invoices, payments, and accounting tax rates can stay aligned without entering the same information twice.
Open the Xero card under Settings → Apps & integrations → Accounting.
Before you begin
Xero is available on Pro and Teams plans.
You need permission to manage workspace integrations in Moxie and authorize the intended organization in Xero.
Confirm the account and tax mappings with the person responsible for your books. The examples below describe the usual setup, but they are not accounting advice.
Prepare a sales account in Xero
Moxie sends invoice lines to a Xero account whose type is Sales. Before connecting:
In Xero, open the chart of accounts and add or identify the sales account Moxie should use.
Give it a unique account code and a recognizable name, such as Moxie Sales.
Set the account's default tax rate to a zero-percent or tax-exempt rate. Moxie sends the applicable Xero tax rate with each invoice, so the sales account itself should not impose another tax rate.
Prepare a clearing account in Xero
The clearing account holds payments recorded in Moxie until you reconcile the matching bank deposit in Xero.
In Xero, add or identify a Current Asset account with a unique code and a recognizable name, such as Moxie Payments Clearing.
Use a tax-exempt rate for the account.
Turn on Enable payments to this account. Moxie only offers Xero accounts with this setting in the Clearing account selector.
For more background, see Xero's guidance for enabling payments to an account. If Stripe, PayPal, or another processor deducts fees before depositing funds, follow your accountant's process for recording those fees while reconciling the clearing account.
Connect and map Xero
In Moxie, go to Settings → Apps & integrations and select Accounting.
On the Xero card, select Connect.
Sign in to Xero and authorize the organization you want this Moxie workspace to use.
After you return to Moxie, select the Xero Sales account and Clearing account you prepared.
Optionally choose the Xero rates Moxie should use for Default sales tax and Exempt sales tax.
Select Save Xero settings.
Map the connected Xero organization before Moxie begins synchronizing invoices and payments.
What happens next
Moxie synchronizes eligible clients, invoices, and payments with the connected Xero organization.
A small Xero mark on a client, invoice, or payment shows that the Moxie record is linked to Xero.
Xero tax rates become available when your invoice tax mode is set to Integrated — QuickBooks or Xero tax rules under Settings → Preferences → Invoices.
Record payments in Moxie first
Record an invoice payment in Moxie before reconciling its bank deposit in Xero—even when the customer paid outside Moxie. Moxie sends the payment to the mapped clearing account, allowing the bank transaction to be matched against that payment. Recording the payment directly against the invoice in Xero can leave Moxie and Xero out of sync.
Reconnect, reset, or disconnect
Reconnect renews Xero authorization.
Reset clears existing Xero record links so future synchronization can rebuild them without ending authorization.
Disconnect ends the workspace's Xero connection.
If only one client or invoice is linked to the wrong accounting record, use that record's action menu and choose Unlink accounting record instead of resetting the entire integration.
Troubleshooting
The clearing account is missing: edit the account in Xero and confirm that Enable payments to this account is selected, then reconnect or reopen the Xero settings in Moxie.
Invoice or payment synchronization is unavailable: confirm that both the Sales account and Clearing account are selected and saved.
Tax rates are missing: manage the rate in Xero, then reopen Moxie's invoice preferences to refresh the integrated tax catalog.
The wrong Xero organization is connected: reconnect and authorize the correct organization. Moxie clears links from the previous organization before future records synchronize.
