Pass card processing fees on to clients

Enter your Stripe card rate, choose who pays card fees, and understand what clients and your Stripe account will show.

Written by Geoff Mina

Optionally add a processing fee when a client pays by card, so the payment you receive covers what Stripe charges you. Stripe still charges you its normal fees; Moxie raises the amount the client pays to offset them.

⚠️ Check with your own legal counsel before you pass fees on to clients.

Rules for adding card surcharges or processing fees differ by country, state, province, and card network. Some places restrict or prohibit them, cap the amount, or require specific disclosures. Moxie can't tell you whether passing fees on is allowed for your business. Consult your own legal counsel before deciding whether to turn this feature on.

Before you begin

  • Connect Stripe and accept card payments. Pass-through fees apply only to Stripe card payments. See Accept online payments.

  • Only the workspace owner can change the workspace defaults under Settings → Preferences.

  • Find your current card processing rate in your Stripe account or pricing agreement. Rates vary by country, card type, and any custom pricing you negotiated with Stripe.

How pass-through fees work

Pass-through fees never change what Stripe charges you. Stripe still deducts its processing fee from every card payment, and you'll still see those fees in your Stripe account and payouts. When a client pays the fee, Moxie adds a Processing fee to the amount they pay, sized so that what's left after Stripe's percentage fee is about the invoice amount.

Moxie calculates the fee from the rate you enter, using the amount due when the client pays:

  • Client pays: with a 2.9% rate, a $1,000.00 invoice paid by card is charged $1,029.87. Stripe's 2.9% of $1,029.87 is $29.87, which leaves $1,000.00.

  • Split: Moxie uses half your rate. With a 2.9% rate, the client pays an extra $14.71 on a $1,000.00 invoice and you absorb the rest of Stripe's fee.

  • No: the client pays the invoice amount and you absorb Stripe's full fee.

The fee covers only the percentage you enter. Fixed per-transaction charges, international or currency-conversion surcharges, and other Stripe fees aren't included unless they're built into that percentage, so your net amount can still be slightly below the invoice total.

Which payment methods add the fee

  • Added: credit and debit cards, and card-based wallets such as Apple Pay and Google Pay, including automatic payments charged to a saved card.

  • Not added: bank payments (ACH), PayPal, and payments you record manually.

Enter your Stripe card processing fee rate

  1. Open Settings → Preferences and select Invoices.

  2. In Invoice settings, enter your current Stripe percentage in Your Stripe card processing fee rate, for example 2.9. Enter only the percentage, not the fixed per-transaction amount.

  3. Select Save.

This rate is used only to calculate fees passed on to clients. It doesn't change what Stripe charges you.

Moxie applies the rate when the client pays, so a change affects every later card payment, including invoices you've already sent. Update it whenever Stripe changes your pricing.

Choose who pays card fees

The rate does nothing on its own. Card fees are passed on only for clients or invoices set to Yes or Split. The invoice's setting wins, then the client's.

  • Workspace default: in Settings → Preferences → Clients, set Pass credit card fees to client? for new clients. To change existing clients too, select Update all clients…, check Credit card fees, and select Update clients. This can't be undone.

  • One client: open the client, select Edit, and set Pass Stripe credit card fees to client?.

  • One invoice: in the invoice builder, set Card processing fees paid by under Payment collection.

Card payments collected in a signed agreement use the client's setting, or the workspace default when the client has none.

What your client sees

  • When the client opens the payment form, a notice tells them the additional amount they'll be charged if they pay by card. Choosing a bank payment avoids it.

  • After a card payment, the invoice shows a Processing fee row in its totals, and the payment is recorded for the full amount charged.

To tell clients about fees ahead of time, turn on Pass through card fees in an agreement's Legal terms block. This adds wording that reserves your right to add processing fees to card-paid invoices. It doesn't turn the fee on; that still comes from the settings above.

Troubleshooting

  • No fee was added: check the invoice's Card processing fees paid by setting, then the client's setting. Bank, PayPal, and manually recorded payments never add a fee.

  • My payout is a little less than the invoice: Stripe's fixed per-transaction fee and any extra surcharges aren't covered by the percentage. Check that your rate matches your current Stripe pricing.

  • Preferences is missing Invoices or Clients: only the workspace owner can change workspace defaults.
