Connect bank and accounting data

Use Plaid for expense transactions and connect QuickBooks Online or Xero for accounting synchronization.

Written by Geoff Mina

Accounting integrations reduce duplicate entry by bringing bank transactions into expenses or syncing operational records with QuickBooks Online or Xero.

Plaid imports bank activity, while QuickBooks Online and Xero synchronize records with an accounting ledger.

Plan availability: QuickBooks Online and Xero are available on Pro and Teams plans. On Starter, their cards remain visible with an upgrade option so you can understand what is available. If a workspace downgrades with either provider already connected, Moxie keeps the connection visible in a read-only view so an owner can review or disconnect it without being stranded.

Import bank transactions with Plaid

Connect a business bank account through Plaid to import expense transactions. Plaid's secure connection flow opens outside Moxie. After an account is linked, you can reconnect it when its authorization needs attention or remove it when it should no longer contribute transactions.

  • Trial workspaces must convert to a paid plan before linking a bank.

  • Starter workspaces can link one bank account; higher plans can connect additional accounts.

  • Removing a bank disconnects the institution and removes its linked transactions, so review the confirmation carefully.

Sync with QuickBooks Online

QuickBooks Online can synchronize clients, invoices, payments, and expenses. After connecting, choose whether invoice numbers need to remain unique across both Moxie and QuickBooks, then map the appropriate income, payment-processing expense, undeposited funds, and tax accounts.

Save and maintain the connection

Use Save QuickBooks settings after changing mappings. Reset refreshes the connected configuration; Disconnect ends the integration. Treat account mappings as financial configuration and confirm them with the person responsible for your books.

Sync with Xero

Select Connect on the Xero card and authorize the organization you want Moxie to use. After returning to Moxie, choose the sales account used for invoice lines and the clearing account used for payments. You can also map default and exempt sales-tax rates.

Xero synchronizes clients, invoices, and payments. Connected Xero tax rates are also available when you configure standard invoices, recurring invoices, and payment-plan invoices. A small Xero mark on a client, invoice, or payment means that record has been linked to Xero.

Reconnect, change organization, or disconnect Xero

Use Reconnect to renew authorization. If you authorize a different Xero organization, Moxie safely clears the prior organization's record links before future records synchronize. Reset clears Xero record links without ending authorization, and Disconnect ends the connection.

If one client or invoice was linked to the wrong accounting record, open that record's action menu and choose Unlink accounting record. This clears the Moxie link without deleting the record in Xero or QuickBooks.
