Configure booking notifications and payments

Configure booking emails and Stripe payments, choose Other income or paid invoices, collect client deposits, and deliver invoice receipts.

Set the confirmation, reminders, and optional payment requirements that should run around each booked appointment.

Confirm the booking

  1. Open the Notifications tab.

  2. Choose a confirmation email template when one is available.

  3. Keep the Moxie confirmation page, or redirect the invitee to a valid URL after booking.

  4. Add reminders before or after the meeting.

  5. For each reminder, choose native calendar, email, or text when that channel is available, then set its timing.

Confirmation and reminder settings keep the immediate response and follow-up timing in one place.

Collect payment at booking

The Payment tab requires an active Stripe integration. Connect Stripe from Settings → Payment providers, then return to the scheduling link to configure the amount and payment instructions.

  1. Open Payment and enable Require payment at booking.

  2. Enter the Payment amount and select the Currency. Review both before sharing the link.

  3. Choose whether to log the payment as Other income or enable Create an invoice for each payment.

  4. If you enable invoice creation, decide whether to also enable Record as a client deposit.

  5. Use Payment page text to explain what the invitee is paying for and any applicable terms. Review the rendered copy in Live Preview.

These choices control how a successful booking payment is recorded. Turning on invoice creation does not ask the invitee to pay twice: Moxie creates the invoice and records the payment already collected through Stripe.

Scheduling-link payment uses your workspace's connected Stripe provider.

The payment is logged as Other income. This is the default and preserves the behavior of existing scheduling links. No paid invoice is created by this option.

Paid invoice: regular income

Turn invoice creation on; leave Record as a client deposit off.

Moxie creates a client invoice for the booking and records the successful Stripe payment against it, without adding to the client's deposit balance.

Paid invoice: client deposit

Turn on both invoice creation and Record as a client deposit.

Moxie creates a paid deposit invoice and adds the collected amount to the client's deposit balance for use on future invoices.

For example, use regular income for a consultation fee that pays for the meeting itself. Use a client deposit when the booking payment is an advance toward later work. The deposit option is available only with invoice creation enabled.

The setting, not the wording, controls the record. Writing “deposit” in Payment page text does not add money to a client's deposit balance. Conversely, enabling the deposit option does not write your payment or refund terms for you. Make the settings and the invitee-facing explanation agree.

The invoice uses the collected booking amount and currency, the meeting name as the line description, and the workspace's standard invoice template and numbering. The scheduler does not add a separate invoice tax or fee on top of the configured booking price. Changing these options does not convert older Other income payments into invoices.

How Moxie chooses the client

With invoice creation enabled, Moxie uses the email submitted in the booking form to find a contact in the same workspace:

  • A contact linked to a client matches: the invoice is assigned to that client. Matching ignores capitalization and surrounding spaces in the email address. Existing client details are not overwritten by the booking.

  • No client-linked contact matches: Moxie creates a new client and contact from the booking information. The business name is used for the client name when provided; otherwise, Moxie uses the invitee's name or email.

Mapped booking fields can supply contact details, address, business information, and custom client fields. If you use an attached form, make sure the information you want carried into the new record is mapped to the corresponding Moxie fields. An answer in an unrelated free-text question is not automatically treated as a client address or business name.

Ask returning clients to use an email already recorded on their contact. An alternate or misspelled email can result in a new client record instead of matching the existing one. The match is based on contact email, not a similar company name.

How the invitee receives the paid invoice

When invoice creation is enabled, the scheduler uses your confirmation-email setup to choose the receipt path:

  • A booking confirmation email template is selected: Moxie attaches the paid invoice PDF to that confirmation email. It does not send an additional default customer payment-confirmation email for the same booking payment.

  • No booking confirmation email template is selected: Moxie sends the workspace's default payment confirmation email through the normal invoice-payment flow, including the invoice PDF.

Choose the booking confirmation template on Notifications. The confirmation page or post-booking redirect is a separate setting; selecting a redirect does not replace the email receipt. Calendar invitations and meeting reminders also remain separate from the payment confirmation.

Rescheduling an existing booking does not create another payment or resend the original payment receipt through this flow.

Review payments and issue refunds

For the invoice options, open Money → Invoices and find the client's booking invoice. Its payment record retains the Stripe transaction reference, so you can use the standard invoice refund action rather than recording an unrelated manual adjustment.

A Stripe refund returns real money to the original payment method. If the invoice collected a deposit, a successful refund also adjusts the applicable client deposit balance. Follow Refund an invoice payment for the steps, statuses, and limits. Deleting a payment record is not the same as refunding it.

Preview safely before accepting payments

Open Live Preview, choose an available day and time, and use the confirmation button to inspect the booking form and payment section. The Stripe-style widget is a visual sample only. Preview does not charge a card, create a client or invoice, submit a booking, or send a confirmation email.

Use it to check the amount displayed in your payment copy, explain regular fees versus deposits clearly, and review the branded form layout. Do not treat a successful preview as an end-to-end payment or email-delivery test. Before you publish

  • Confirm that every email reminder has a valid template.

  • Confirm that text reminders are available for your Communicator subscription.

  • Confirm the payment amount, currency, and whether you selected Other income, a regular paid invoice, or a client deposit.

  • For invoices, review the booking email field and any client-field mappings in the attached form.

  • Check the confirmation template or workspace default payment email that will deliver the receipt.

  • Review the post-booking destination and preview the payment copy. A real payment test is separate from Live Preview and can move real money.
